Fig. A4 / Documents

Documentation agent

A single shipment can involve dozens of documents across the exporter, importer, forwarder, carrier, and banks. The documentation agent keeps the set complete and consistent, catching discrepancies while they are still cheap to fix.

What it does

  • Tracks the required document set per shipment and chases whoever owes the next document
  • Cross-checks bills of lading, invoices, packing lists, and certificates for consistency
  • Screens letter of credit presentations against LC terms before submission
  • Flags expiry dates, late shipment risks, and presentation deadlines
  • Maintains a complete, shareable document record for both parties

Inputs

  • LC terms
  • Draft documents from all parties
  • Carrier and booking data
  • Shipment milestones

Outputs

  • Discrepancy reports before presentation
  • Complete document sets
  • Deadline alerts
  • Shared shipment file
A majority of letters of credit are reported rejected on first presentation due to discrepancies
